All owners of properties on the Ashleigh Estate, Horsham are eligible to buy shares in the company. Volunteer shareholders from AR[H]L manage the Estate. We hold only information that enables us to administer the Estate effectively.
What information do we hold?
Owners will have given us details of their name, property address (and residential address where this is different). For many owners we also have email addresses. We store details of payments made and expenditure on the upkeep of the Estate. Data are stored on a secure password-protected server.
We can also have access to the IP addresses of visitors to the website although these cannot be linked to individual users.
How long do we keep this information?
Because we have had enquiries about transactions carried out many years ago, we keep information for a period of up to ten years before it is deleted.
How is this information used?
The information we store is used to conduct our legitimate business, namely to produce and send invoices for the upkeep of the Estate; we are legally required to do this. The information is also used to communicate to owners concerning the upkeep of the Estate. For those that have requested it we also send out our Newsletter by email.
With whom do we share this information?
Once a year we share some of this information with the company accountants to enable them to produce the company accounts. We will never share this information with anyone else unless legally required to do so.
